Online Work Request Proper Usage

The online entry of work requests is NOT intended for entering EMERGENCY issues.

If you are experiencing an EMERGENCY, please call the ResLife office at 516-463-4140. If it is after hours, call Public Safety at 516-463-6606.

What is an EMERGENCY?

An EMERGENCY is any issue that requires immediate action. Of critical importance is any issue that posses a safety hazard or a potential safety hazard For example, ANY electrical issue, such as a broken electrical outlet or light switch is considered an EMERGENCY. Other EMERGENCY issues include, but are not limited to, the following;

  • Electrical Problem
  • Leak of any type
  • Spills
  • Flooring issue
  • Broken window
  • Temperature related issue such as too hot or too cold
  • Door/key issue preventing access to or proper securing of a room
If you are not sure whether a problem is an EMERGENCY or not it should be treated as an EMERGENCY and called in.

Improper usage

Improper usage of the online work request system is considered one or more of the following;

  • Repeated entry of the same problem,
  • intentional entry of incorrect, misleading and/or false work requests,
  • use of any and/or all information contained in the system for anything other then ResLife or Facilities and Operations purposes.
Improper use of the system is considered a serious offense. Improper usage can result in, but is not limited to loss of access to the system.

What is the process for handling Work Request entered online?

When a work request is entered online, it is persisted (saved) in a database and an email notification is sent to the appropriated ResLife personnel. The individual entering the request will be given a work request number to identify the problem. On the next business day a person from ResLife will review the work request for the appropriate action. Based on the type of request the work request is either handled immediately by the ResLife Office, or placed into the Facilities and Operations Work Order System for action by that department.

When the work requests is entered into the Facilities and Operations Work Order System, an email notification will be sent to the registered occupants of the room indicated by the work request. This notification will contain a description of the work request and a new work request number used by the Facilities and Operations Work Order System. Please retain the new number for your records. The work will then be scheduled, based on problem severity, type of problem and order received.
