Description: The Assistant/Associate Director, reporting to the Project Director, oversees the day-to-day functions of the CSTEP program and organizes various functions of the LPP and STEP programs. CSTEP and STEP are New York State grant-funded initiatives designed to increase the number and quality of historically under-represented groups in careers including science, technology, engineering, mathematics and fields that require licensure. LPP is also a New York State grant-funded initiative designed to improve the rate of secondary education completion, leading to post-secondary education and/or employment. The position also includes program planning and organization, student advising and workshop administration, budgeting and developing reports. The Assistant/Associate Director will be responsible for creating and managing a provision of services leading to interest and success in fields including science and technology and those that require licensure. The position is highly collaborative and includes oversight of several staff.

Responsibilities include but not limited to:

Student Advisement
Oversee advising/tutorial appointments for all students enrolled in the CSTEP program, utilizing Hofstra University’s student success collaborative platform to coordinate student services. Collaborate campus wide with faculty, staff, schools, colleges and departments to help facilitate student success. Maintain accurate and up-to-date recordkeeping on participants to monitor progress.

Summer Transition Program
Oversee the day-to-day functions including student recruitment and enrollment; hire and pair Hofstra University student mentors with program participants; and coordinate the summer schedule including academic classroom attendance, residential living and campus exploration.

Colloquiums, Workshops and Tutoring
Oversee and schedule colloquiums and workshops on various topics, leading to student growth, development and academic success. Manage schedule outlining program activities throughout the year, and coordinate logistical arrangements for activities.

Student Conferences
Oversight and coordination of all activities associated with conference preparation including registration, student research presentations, hotel accommodations, travel arrangements and pre-trip meetings.

Budget management
Forecast, create and balance CSTEP program budget throughout the year. Make adjustments, submit payments and reconcile expenses. Create consultant contracts, invoices and settle encumbrances.

Midyear and end-of-year reports
Manage student data for New York State Education Department reporting, including folders for every program participant.

Pre-collegiate tutoring management
Hire, train and oversee student tutors; manage tutorial needs and assignments, relationships and logistical arrangements – including classroom space, weekly assignments, and timesheet reconciliation. Manage tutor/tutee relationships, communication with parents and host regularly scheduled meetings.

Pre-collegiate student mentoring program
Manage pre-collegiate/collegiate mentoring program; facilitate recruitment, training and pairing of student mentors and mentees. Monitor and evaluate progress and hold regular meetings.

The position includes Saturday hours, and occasional overnight obligations for conferences and tours. The position is contingent upon grant funding and therefore, subject to the continuing availability of grant funds.
Qualifications: Bachelor’s degree required with a concentration in Science, Technology, Mathematics, Counseling, Psychology or Education. Master’s degree is preferred.
At least three years of successful experience in designing, managing and administering social programs is required. Experience in grant writing is preferred; excellent verbal and demonstrated written communication skills is required. Proven and progressive experience in developing, organizing and implementing grant-fund projects is preferred. Experience with budgeting is desired. The candidate should also have extensive database management experience and be very detailed oriented. Training or experience in assessing grant funded projects is preferred; the candidate should have knowledge of postsecondary educational programs and experience in counseling students.
