Procurement Services Supplier Information

Note to Suppliers: The President and Vice President for Financial Affairs are solely authorized to enter into contractual agreements or to incur obligations or make commitments on behalf of the University for the procurement of goods or services.

Purchase Orders

Hofstra’s University Standard Purchase Order Terms & Conditions are provided below:

Potential new suppliers submit a Supplier Qualification Form and must be approved by the Office of Procurement Services, before conducting business with Hofstra University.

Supplier Qualification

Suppliers interested in conducting business with the University must submit a Supplier Qualification Form and a federal W-9 tax form. Procurement Services will review all submissions and identify/approve those qualified suppliers.  Procurement Services will respond to those suppliers whose profiles meet the University’s business requirements. Women and Minority Business Enterprises are encouraged to apply.

Please note that suppliers must be able to demonstrate they are capable of meeting all necessary technical, timing and service requirements. The supplier qualification process includes, but is not limited to, reference checks and a review of insurance coverage, financial statements and/or credit reports.

Insurance

If fabrication, installation or other work is specified to be done on the University's premises, prior to commencement of work, a contract must be signed and the contractor must furnish the University with certificates of insurance, naming Hofstra University as an additional insured. The University requires contractors to maintain specified levels of insurance coverage for all work to be performed on campus.

The University awards multi-year contracts when appropriate, to support ongoing services or  repairs. These agreements typically coincide with the University's fiscal year, which spans from September 1st through August 31st.
